Technical Service Management Software

Run every request in one flow, from the service request and inspection to versioned quotes and customer approval, service scheduling, the service form and accounting; see waiting work, quote approval rate and long-waiting requests live by region and service centre.

Why it matters

Problems it solves

Who it's for: Companies that sell and service machines, vehicles, devices or systems; service organisations working across several regions or with authorised service partners; paid, warranty and contract service jobs that move through quotes and customer approval

  • 01

No one knows where a request is

Faults come in by phone, quotes by email, service dates sit with the team and invoices with accounting; when the customer asks, no one knows which stage the request is waiting at.

  • 02

    Quotes and approvals are scattered

Which version of a revised quote was approved, who approved it when and at what exchange rate has to be dug up later.

  • 03

Service closes, the invoice is forgotten

Jobs close before the service form arrives, or completed service never reaches accounting, and billable work stays uninvoiced.

Modules

What it offers

  • Requests and flow rules

Requests with customer, location and equipment; the service region comes from the location. The flow follows the request type: installation requests skip the inspection step.

  • Equipment and checklists

Checklists by brand, vehicle and machine type; vehicles and serial numbers are imported from Excel. Operating hours and km are recorded at every inspection and service.

  • Inspection

The inspection date is scheduled in advance; fault diagnosis, photos, part and service lines. Parts from the inspection carry over to the quote automatically.

  • Versioned quotes and customer approval

Multiple currencies and rates, discounts, VAT and commercial terms. Revisions are versioned and the customer approves the version they want (V3 even when V4 exists). The authorised contact and the final billing account are chosen at approval.

  • Warehouse orders and purchasing

Approved quote parts automatically create a warehouse order or purchase request in Mikro, so parts are ready for the service.

  • Scheduling and field work

Service date, service centre and owner; parts and services approved in the quote come into the service and are confirmed line by line. Start, finish, duration, service type and photos.

  • Service form and digital signature

A photo of the signed paper form is taken and uploaded from the phone, or the form is filled in the app; if required, service cannot close without it. Digital signature is optional.

  • Accounting and closing

Completed service drops into the accounting queue and the invoice goes to Mikro, so billable work is never skipped; a set time after service closes, the request moves to closed automatically.

  • Dashboard and reports

Open and closed requests, quote approval rate, stage breakdown, waiting time and regions; request, service, quote and performance reports.

  • Roles, notifications and audit

Region, sales, accounting, customer and admin roles; customer contacts by type (manager, technical manager, purchasing). Notifications are switched on or off per stage and customer, and every change leaves an audit trail.

How it works

The process step by step

  1. 01

    Request opened

Logged with customer, location and equipment, and routed to the region and service centre.

  2. 02

    Inspection and quote

The fault is diagnosed on the scheduled date, and inspection parts carry over to the quote automatically.

  3. 03

    Approval and scheduling

The authorised contact approves a version; a warehouse order or purchase request is created and a service date is set.

  4. 04

    Service, invoice, close

Service runs with the approved parts and the form photo is uploaded; it is invoiced and the request closes automatically.

Frequently asked questions

New request, inspection, quote, customer approval, service date, service, accounting, invoice and closing. The customer can reject a quote or ask for a revision, and every transition is recorded with date and user.

Each revision is kept as a new version. The approval history shows which version was approved, by whom and when. Quotes can be prepared in TRY, USD, EUR and GBP with the exchange rate.

Yes. Requests are assigned to a region and service centre, and the dashboard, lists and reports filter by both. Users only see the work their role allows.

Customer contacts are defined by type (manager, technical manager, purchasing), and the authorised contact and final billing account are chosen at approval. The customer can approve any revision, not only the latest; after approval a warehouse order or purchase request is created automatically for the parts.

Customer accounts and spare-part stock are read from Mikro, so quotes and services use the same codes. Approved quote parts create a warehouse order or purchase request in Mikro, and the invoice for completed service is sent to Mikro.

No. Vehicles and serial numbers are imported from Excel in bulk. Checklists are defined by brand, vehicle and machine type, and operating hours and km are recorded at every inspection and service, so each unit's history builds up in one place.

Yes. A parameter prevents service from being completed without the form. A photo of the signed form can be taken and uploaded from the phone, or the form can be filled in the app; digital signature is optional.

Emails go out when the request opens, inspection completes, the quote is sent for approval, the service date is set and the job closes. Notifications can be switched on or off per stage and customer, for example keeping customer emails off in the first go-live phase. Send status and retries are tracked on the notifications screen.
